E-mail information
Documentation on using Outlook or the Outlook Web Application to access Exchange services, including email and scheduling, may be found at this location.  These services are fully supported by the Help Desk.

Please note: The following services regarding Entourage and IMAP and POP access are provided as alternatives to standard University services, but these services are not regularly maintained or supported by the Computer Help Desk and you use them at your own risk.

Use of Entourage (for Mac users):
The upgraded Exchange server allows Mac users to access their email and schedules using Entourage as well as Outlook Web Access (OWA) from on or off campus. This is not a supported service, but information on how to configure Entourage for those people who can do this for themselves may be found at this location.

Use of secure IMAP and POP (for IMAP and POP users):
During the recent upgrade to the campus email system, access using IMAP and POP was turned off because these protocols are insecure. We have now replaced these services with secure versions for those individuals with special needs and the technical ability to support themselves.

How do I determine my Quinnipiac e-mail address?
Exchange Server uses the Internet e-mail addressing convention:

firstname.lastname@domain.name

Since our Internet domain name is quinnipiac.edu, a correctly formatted e-mail address for Mary Smith would look like: mary.smith@quinnipiac.edu

An exception to the above convention occurs when there are multiple people with the same first and last names. In such cases, a sequence number is appended to the last name to create uniqueness. For example, a second Mary Smith would have an e-mail address of: mary.smith1@quinnipiac.edu

You can use Outlook to verify your e-mail address. Find your name in Exchange active directory by opening a new message and clicking on the "To..." button (address book). Find your name in the "Select Names" dialogue box and right-click on it, then left click "Properties." When you click on the E-mail Addresses tab, you'll see e-mail address, which is the value associated with the SMTP entry.

The .edu extension at the end of every Quinnipiac University community member's e-mail address identifies that address as belonging to the educational domain vs. any of the other primary domain designations:

.com (commercial entities)
.edu (educational institutions)
.gov (government agencies)
.mil (U.S. military)
.net (network providers)
.org (organizations, such as PBS - the Public Broadcasting System)

Use the Campus Directory page linked from the Quinnipiac University home page to search for the e-mail address of any member of the Quinnipiac University community.


I'm getting warning messages about my mailbox filling up. What do these messages mean?

The Outlook Exchange Server at Quinnipiac automatically manages disk storage for user mailboxes. Individual user mailboxes have a 75MB size limit. As the size of a users mailbox approaches the 75MB limit, warning messages are automatically issued alerting the user to take appropriate action to reduce its size. Users are responsible for maintaining the quantity of data in their mailboxes at a level lower than 75MB. Warnings automatically issued are as follows:

- At 65MB, the user is altered that his mailbox is approaching the size limit.
- At 70MB, the user is alerted that messages can no longer be sent from his account.
- At 75MB, the user is alerted that messages can no longer be sent from, or received by, his account.

Once the 75MB limit has been reached, the user's e-mail account is prohibited from sending and receiving messages. However, the user is not "locked out." She retains the ability to log onto her account to delete messages or save them to a local drive to reduce the mailbox size. Once the mailbox has been reduced to an acceptable size, the users' ability to send and receive messages is automatically re-enabled.

I just sent e-mail to a member of the Quinnipiac community and received an error message entitled "Undeliverable:". What does this mean?

This is the message returned to a user to indicate that one or more of the recipients addressed in an e-mail message has reached the 75MB mailbox size limit. The message is generated automatically and has the following characteristics:
- The sender (From: field) will be the System Administrator.
- The Subject: field will contain the phrase "Undeliverable:" followed by the original subject of the message.
- A preamble to the original message is inserted and will appear as follows:

The following recipient(s) could not be reached: "John A. User" on 10/27/99 12:36 PM The recipient was unavailable to take delivery of the message MSEXCH:MSExchangeIS:MAIL:QCMAIL

The recipient(s) identified in the preamble need to reduce the size of their mailbox before they can resume receiving e-mail. The sender cannot do anything except notify the recipient(s) (in a form of communication other than e-mail) that their mailbox is over the size limit.

What causes my mailbox to exceed the 75MB limit?

Many times the cause of problem is that the user has failed to delete messages from the Sent mail folder, Drafts folder, and the Deleted Items folder. Also, messages with attachments and messages that contain a large number of recipients use large amounts of disk storage space.
