Scheduling shared workspace

1. You can reach the calendar by first clicking on the folder icon at bottom left in Outlook (highlighted near the bottom in the screenshot below). 2. Then double-click on the folder labeled “All Public Folders”, double-click on the folder labeled “Academic Affairs”, and then double-click on the folder labeled “Calendars” (all shown in the second screenshot below).

3. Then when you click on the “ABL 201” calendar, you should see something like the screenshot below, into which you can schedule office time just as you do with your own calendar.  As indicated in the title for the ABL 201 calendar, there are five desks available in the office so as many as five faculty members can reserve space in the room at any given time.  In this example, there are still 3 desks available for scheduling from 11-12 on Tuesday, but all five desks are reserved from 1-2 on Wednesday (and all other times during the week are still completely available).

We encourage you to take a look at the two rooms to decide which best meets your needs and then use a “New Recurring Appointment” (call 4444 for assistance) to schedule your weekly office hours in one of the rooms.  You can then include your office hours and location on your syllabus, knowing you can meet your students there every week.
